Stay to Play
- Stay to Play means teams are required to book their hotel rooms through our designated system as part of tournament participation. This helps ensure a consistent and high-quality experience for all attendees.
Teams that book outside of the official tournament hotel block risk serious consequences, including forfeiting games and being ineligible to advance to the finals. Violations may also impact a team's acceptance into future tournaments.
Group Blocks
The team manager will work directly with the Housing Director to choose a hotel that best fits the needs of the team and their families. Once a hotel is selected, 365 Sports Travel will create a custom group block and provide a booking link, making it easy for families to reserve their rooms.
Team managers can view and monitor all reservations within their group block by logging in with their email and unique group code (e.g., G-____). This allows you to easily track who has booked and ensure your team meets all housing requirements.
Once your group block is created, you’ll receive a direct booking link that allows families to reserve rooms at the discounted group rate.
Payment
The processing fee covers the administrative costs associated with managing your reservation.
- Your card will not be charged for your room nights until you check out of the hotel, unless the hotel requires an upfront deposit.
- Very few hotels may place a hold on your card on the day of arrival or require an upfront deposit
No, you will not be charged a cancellation fee as long as you cancel your reservation before the hotel's individual cancellation deadline. Please review the specific policy listed under “Hotel Policies” when booking your room.
Changes to my Reservation
- How do I modify or cancel my reservation?
- You can modify or cancel your reservation at any time through the Event Pipe portal.
- This can easily be done by CLICKING HERE
- All changes must go through the portal unless it is within 72 hours or less of your arrival date. Please contact the hotel directly to make any changes.
The cancellation policy for each hotel is listed at the bottom of the booking page under “Hotel Policies.” Please review this information carefully before finalizing your reservation.
Rate Policy
- While lower rates may occasionally appear online, they often come with non-refundable terms and may not include key benefits—breakfast, which is typically included in our group rate. Booking outside the group block eliminates flexible cancellation policies while also putting you at financial risk if the event is canceled or delayed due to weather.
- For Military or Government rates: We sincerely thank you for your service. If your eligible rate is better than our group rate, we encourage you to take advantage of it.
- Unfortunately, you’re not able to use reward points when booking through our group discounted rates and still be in compliance with the stay to play policy the tournament has set up. The good news is that when you book through our group link, you’ll still earn points on your stay, allowing you to save them for future trips where discounts may not be available.
- We generally discourage using points for a few important reasons:
- Reservations made with points do NOT fall under our protection policy, which covers families if the event is canceled or impacted by weather.
- Using points may disqualify you from key benefits, such as
- Free or discounted parking
- Free breakfast or discounted vouchers
- Waived resort fees
- Other additional amenities included in our negotiated group rate
Communication with the Hotel
- You only need to contact the hotel directly if you need to adjust your reservation within 72 hours or less of your arrival date. Otherwise, all changes can be made through the Event Pipe portal.
- If you have a special request, please contact the housing coordinator, who will work with the sales rep. at the hotel.
No, there’s no need to sign a contract. 365 Sports Travel handles all negotiations and secures the lowest available group rate on your behalf.
